EXECUTIVE ASSISTANT

Department: Human Resources
Location: Santa Barbara, CA

SUMMARY:
Under supervision of the Chief Executive Officer, the Executive Assistant provides a wide range of administrative and office support activities. The Executive Assistant is responsible for managing the schedules and communications of the CEO and the Core Team Members. Their duties include prioritizing emails and phone calls, gathering documents to prepare for meetings including fielding and making telephone calls, receiving and directing visitors, word processing, and faxing and overall support for the Chief Executive Officer and the Core Team.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Assists the CEO with daily administrative duties and completes a broad variety of administrative tasks that include completing scheduling meetings, composing and preparing correspondence, itineraries and agendas and compiling documents for meetings.
  • Provides comprehensive meeting support for Board of Directors, Committee, and internal meetings, including but not limited to: scheduling and logistics, drafting agendas and materials, and taking minutes; prepares rooms for meetings; fulfills needs for audiovisual equipment; arranges for necessary materials and refreshments.
  • Coordinates documentation and processes for Board orientation and Board compliance.
  • Assists and supports the CEO in preparing for meetings, including preparing meeting materials, keeping track of meeting progress and follow up items, and preparing and revising correspondence and other documents, as necessary.
  • Assists Administration and the clinics with various projects as needed including data analyses, evaluation processes, and other problem areas that need improvement and/or streamlined efficiencies; proposes improved processes to increase efficiency; gathers, reviews, and compiles information, and prepares accurate and comprehensive reports as assigned.
  • Works closely and effectively with the CEO to keep him well informed of upcoming commitments and responsibilities, following up appropriately.
  • Serve as the primary contact for the company, greet and establish rapport with employees, clients, visitors, and all other guests entering and exiting the building.
  • Sets up Zoom Meetings and Interviews for CEO and Core Team.
  • Answer and direct telephone calls, and appropriately relay important information promptly, clearly, maintaining confidently as needed.
    • Inputs and maintains a variety of confidential employee information.
    • Files and retrieves documents, records, and reports required by CEO and or Core Team.
    • Updates and reformats a variety of documents and spreadsheets; sends standard correspondence on behalf CEO.
    • Orders supplies needed in order to perform a variety of organizational projects.
    • Assist in opening mail and distributing.
    • Assists Core Team in creating meeting agendas, scheduling meetings, and works projects for SBNC.

QUALIFICATIONS AND EDUCATION REQUIREMENTS:


Education: High School diploma or GED equivalent. AA Degree Preferred
Knowledge of: Proficient knowledge of Microsoft Word and Excel.
Excellent use of Microsoft Power Point and Adobe Acrobat.
English grammar, spelling, and punctuation must be excellent
Ability to: Follow verbal and written instructions accurately. Communicate effectively and professionally with a variety of people and provide accurate information, via phone, e-mail, and written communication.
Work independently and complete tasks with minimal supervision. Pay attention to detail. Organize work and maintain accurate files and records. Use office equipment including copier, fax, and postage meter.
Physical Demands: May be required to lift objects weighing up to 25 pounds. Sitting in a normal seated position for extended periods. Reaching by extending hand(s) or arm(s) in any direction. Finger dexterity required to manipulate objects with fingers rather than with whole hand(s) or arm(s), for example, using a keyboard. Communication skills using the spoken word. Ability to see within normal parameters. Ability to hear within normal range. Ability to move about.
Certification/License: Valid California driver’s license. This position may be required to drive to various sites and drive to weekly Core Team Meetings.

OTHER DUTIES AND RESPONSIBILITIES:

  1. Demonstrates understanding of and observes all SBNC policies, procedures, rules, and regulations.
  2. Demonstrates successful work-related behaviors.
  3. Attends SBNC meetings as required.

Salary Range: $28 - $31
